Do I need Power Query, or just an answer from this file?
What is Power Query built for?
Power Query is the data preparation engine inside Excel and Power BI. You connect it to a source, apply a sequence of transformations (filter these rows, split that column, merge in another file), and it records every step. Point it at next month's export and the same steps run again. For repeatable cleaning and reshaping work, it is a good tool, and a lot of people who would benefit from it have never opened it.
What does Power Query already get right?
Three of the arguments Paperswift makes against other tools do not apply here. Power Query runs on your own machine — your rows are processed locally and never uploaded, so privacy is not a reason to pick between the two. It costs nothing extra if you already have Excel, which is cheaper than we are. And its steps are repeatable by design: re-pointing a query at a new file and refreshing is exactly the workflow it exists to support.
If you already know Power Query and it is doing the job, there is no argument here worth your time. Use it.
So where is the actual difference?
In what it asks of you before it gives you anything.
Power Query is a tool you drive. To get a result you need to know what transformation you want and how to express it as an ordered sequence of steps — knowing that "group by" is the thing you need, where it lives in the interface, and what it will do to the columns you are not grouping on. The graphical editor covers a good deal, but it runs out sooner than beginners expect, and behind it sits the M language. Plenty of capable people stall at that boundary and quietly go back to copying numbers by hand.
That learning is paid in advance. It is worth paying if you will reshape data regularly for years, and a strange thing to take on for one export and one question.
What do you have when you finish?
A cleaner table. That is what Power Query produces, and what you asked it for. But a reshaped table is not yet an answer: you still build the PivotTable, choose the chart, and lay it out.
Paperswift starts from the question instead. The reshaping still happens; it is just not something you have to specify.
Where does each one hit a ceiling?
Power Query loaded into a worksheet is bounded by Excel's row ceiling of a little over a million rows. Loading to the Data Model instead raises that a long way, and if you know to do that, large files are workable — but knowing that is another piece of the same learning curve. Refreshes on very large or awkwardly shaped sources can also become slow enough to break the habit of using it.
Paperswift reads the file in your browser and is bounded by your own machine rather than by a worksheet, which is a different shape of limit rather than an unambiguously higher one.
What does each one cost to set up and run?
In money, Power Query wins outright: nothing beyond the Excel licence you already hold. No subscription, no server, no usage meter — and unlike the AI assistants, no way to spend an allowance by accident, because there is no allowance.

Which one should you use?
Use Power Query if you already know it, or if the work is a pipeline — merging exports, cleaning columns, refreshing the same shape of file month after month. That is what it was built for, and it does it well at no extra cost.
Use Paperswift when the job is a question rather than a pipeline, and when the person asking does not live in Excel and should not have to learn a transformation tool to find out what last quarter looked like.

Does Power Query send my data anywhere?+
No. When you use Power Query inside Excel, the processing happens on your own computer, and your rows stay there. That means privacy is not a reason to choose between Power Query and Paperswift, because both keep the file on your machine where it already was.
Is Power Query free?+
It is included with Excel at no extra charge, so if your company already licenses Excel there is nothing further to buy. That makes it the cheapest option here in cash terms. The cost it does carry is the time it takes to become competent with it.
Do I have to learn the M language?+
Not for everyday work — the graphical editor covers most common transformations, and each click writes the code for you. You meet M when the interface runs out of road, which happens sooner than beginners expect, and that is where most people stall.
How many rows can Power Query handle?+
Loading to a worksheet is capped by Excel's own row ceiling, a little over a million. Loading to the Data Model instead lifts that considerably, which is the standard workaround. Knowing that distinction exists is itself part of the learning curve being described here.
When is Power Query the better choice?+
When you already know it, or when the job is transformation itself — merging several exports, reshaping columns, cleaning values on a schedule. It was built for that and does it well. Paperswift does not replace a transformation pipeline and does not try to.
Why would I use Paperswift instead?+
Because you want an answer rather than a pipeline. You ask in plain English, and a chart comes back with the query readable underneath. There is nothing to learn first, which matters most to the person who needs one number this afternoon and does not work in Excel daily.
